Policies and legal information
How CaseCloudCompany handles your data, which cookies we set, and the terms that apply when you use CCC Manage and CCC Work. Everything lives on one page so you can read or link to any section directly.
This page is part of a layout demonstration. The wording below is sample text, not legal advice and not a binding agreement — replace it with policies reviewed by your own counsel before going live.
Privacy Policy
We collect only the information needed to operate the platform, support your firm, and meet legal obligations. Case and client data you upload stays yours; we process it on your instructions as described in the data processing terms below.
Information we collect
- Account data — name, work email, firm name, role, and billing details you provide when signing up.
- Customer content — cases, documents, contacts, time entries, and messages your firm stores in the platform.
- Usage data — pages viewed, features used, device type, browser, approximate location from IP, and error logs.
- Support data — messages, call notes, and attachments you send to our support team.
How we use it
- Provide, secure, and improve the service.
- Authenticate users and prevent fraud or abuse.
- Send service notices, billing statements, and, where you opted in, product updates.
- Meet accounting, tax, and regulatory requirements.
What we do not do
- We do not sell personal information.
- We do not use customer content to train third-party AI models. Model features run under contractual terms that prohibit provider-side training on your data.
- We do not share case data with advertisers.
Retention
Customer content is retained for as long as your subscription is active, then deleted within 90 days of termination unless a longer period is required by law or requested in writing. Backups roll off within 35 days. Usage logs are kept for 12 months.
Terms of Service
These terms govern access to the platform. By creating an account or using the service on behalf of a firm, you confirm you are authorised to bind that firm.
Your account
- Keep credentials confidential and enable multi-factor authentication for every user.
- You are responsible for activity under your firm's accounts.
- Notify us promptly of any suspected unauthorised access.
Acceptable use
- No unlawful, infringing, or malicious content.
- No attempts to probe, scan, or disrupt the service or other tenants.
- No resale or sublicensing of the service without written agreement.
Subscriptions and billing
Plans renew automatically for the same term unless cancelled before the renewal date. Fees are non-refundable except where required by law. Trials convert to paid plans only if you choose to continue — a trial with no payment method simply expires.
Availability and changes
We aim for 99.9% monthly availability excluding scheduled maintenance, which is announced in advance. Material changes to these terms are announced at least 30 days before they take effect.
Security & data processing
- Data encrypted in transit with TLS 1.2+ and at rest with AES-256.
- Role-based permissions, audit logs, and SSO available on eligible plans.
- SOC 2 Type II controls, annual penetration testing, and continuous monitoring.
- Sub-processors are listed publicly and reviewed before onboarding; you are notified before a new one is added.
- Confirmed personal data breaches are reported to affected customers without undue delay, and within 72 hours where the law requires it.
Where we process personal data on your behalf, our Data Processing Addendum applies and incorporates the Standard Contractual Clauses for international transfers.
Your rights and choices
Depending on where you live, you may have the right to access, correct, export, or delete your personal information, to object to or restrict certain processing, and to withdraw consent at any time.
- Firm administrators can export or delete most data directly from account settings.
- Requests submitted to our privacy team are answered within 30 days.
- If we handle data as a processor for your firm, we forward the request to the firm as controller.
- You may lodge a complaint with your local supervisory authority.
